1/11/2017 Meeting

Dillon Earthday Festival Committee 01/11/2017 Meeting Summary
 
Discussions included:
  • Clean-up logistics
  • Celebration plans (food, entertainment, speakers, layout),
  • Funding and donations (budget, fund raising, raffle)
  • Publicity

With respect to the cleanup logistics, Bill will contact Klasen about porta-potties and wash stations again this year and Dillon Disposal concerning the dumpsters.  Beaverhead Recycling will supply Eco Products bags and any extra starch utensils if the Food Service can’t provide them. UMW Student Senate will provide sandwich boards to indicate drop-off areas.

Food for the celebration will be obtained with donations; IGA and Safeway will be contacted for donations of supplies and condiments - some will likely be purchased.  Bill will check with Mac’s Last Cast and Great Harvest about burgers and buns as in the past.  Ed will contact Jeff Welborn about the grill; Sharon Williams of Terra Verde will see about warmers for the burgers to reduce wait times experienced in the past.

The plan is to alternate entertainment and speakers during the celebration.  Entertainment should include Tom and Sheila (?), and Dillon Fiddlers.  Other possibilities include Kelly Weinacht and Brent McCabe (sound equipment needed - Mandy), and Willie James (Bill will ask).  Speakers will tentatively include the Mayor (Mandy will coordinate with proclamation, etc.), Ryan Zinke, Jim Hagenbarth, and the Montana Wilderness Assoc.  There will be a raffle again this year and Terra Verde will collect donations.  Barretts Minerals will again donate a TV (est. $500 value).

The celebration will take place at the Depot Park and will include Montana Street from the Brewery to the corner of Sebree Street and the auto shop parking.  Participation by organizations with displays which are informative, educational and/or interactive, and generally compatible with the Earth Day theme will be encouraged. Ed and Bill will draft a drawing of the layout showing the location of displays, entertainment, seating, etc..  Mandy will follow up on the street closure and fee waiver with the City.  Tables will be obtained from UMW; Sharon Williams will follow up with the reservation. Ed and Bill will contact DC rentals about donating chairs again this year. May not need as many because we will have hay bales.

Theresa and Sharon will request $1,000 funding from the Student Senate for advertising, the SMAC tent, eating supplies, drinks and condiments, and thank-you ads.  Barretts Minerals will again pay $250 for the Tribune thank-you ad.  Attention will be given to documenting the value of in-kind time and products as well as cash donations.  This will be useful for thank-you’s and future fundraising and publicity.  Ed will share the data collected last year.

Publicity will be expanded this year to include the Standard and channels with which Mandy Maas is familiar.  Leaf circulated a draft flyer for comment and will revise based on comments.  PSA’s will include an open invitation for participation with displays and activities during the celebration. Leaf will get event flyers in the Pioneer Federal Mailer, Lima School, and Beaverhead County schools.

The next planning meeting is 5:30 p.m., Wednesday, February 8th, 2017 at the UMW Block Hall, Terra Verde Room  (NW End, downstairs; follow the signs).
